Inbound sales triage for founder-led teams

Bring relevant sales inquiries into one feed, understand why they need you, and review supported Gmail reply drafts. No automated outreach or promises made on your behalf.

A prospect asks a useful question. A potential partner wants to talk. Someone who tried your product has one concern before moving forward. None of these messages looks especially urgent in an inbox full of receipts and notifications.

For a founder doing their own sales, the job is not to answer everything faster. It is to notice the conversations that deserve an answer, then give them a considered one.

Waveloom can help with that first pass. It reviews updates from configured sources and can bring a relevant inquiry into your feed with an explanation. For supported Gmail events, it can also prepare a reply for you to edit and approve.

A concrete example

This is an illustrative scenario, not a customer result.

You are looking for small design-agency customers. You explicitly ask Waveloom to remember that focus. Later, an email arrives through your configured Gmail source:

"We run an eight-person design studio. Can a client review a project without joining our whole workspace? We are choosing a tool this week."

There are useful signals in the message itself: the type of business, a specific question and a decision window. A useful card would explain those signals rather than just say "new sales email."

The draft still needs your judgment. Does the product support that review flow? Are there limitations? Would a call help, or would one clear answer be better? Waveloom should not turn missing information into a confident promise.

Set up around one kind of inquiry

Start with the account where those messages actually arrive. Finish the source's setup and check that it is listening; connecting an account alone does not guarantee background updates.

Give Waveloom a short, explicit priority, such as:

"Remember that our current focus is design agencies with small teams. Questions about client review are especially relevant to me."

That gives it context for relevance. It is not a rule that guarantees every matching message will become a card, and it is not permission to contact anyone.

Review cards against the original messages. Waveloom works from selected event information and compact stored context, not an automatically complete history of every prospect. Keep your existing inbox checks while you evaluate whether the feed is useful.

Turn the card into a considered reply

When a supported reply draft is available:

  1. Check the sender and conversation.
  2. Verify product claims, pricing and any proposed dates yourself.
  3. Edit the reply to answer the actual question.
  4. Approve only the message you want sent, then check the result.

If the card has no reply action, or you need more context, handle the conversation in Gmail. A useful observation does not need an execution button to be useful.

What this does not replace

Waveloom is not a lead database, a cold-email sequencer or a CRM. This use case does not automatically enrich contacts, qualify every lead, negotiate terms, book meetings or chase a prospect who has not replied.

It also is not a guaranteed urgent-message alert. Delivery and review depend on the source, its configuration and available processing capacity. Keep a direct route for genuinely time-sensitive requests.

The useful outcome is smaller: a relevant inquiry is easier to notice, and you stay responsible for the answer.
